Credentialing Support for Private Practice Therapists
Ready to leave Alma or Headway, but confused about how to apply for your own insurance contracts? We can help.
Why We Offer This
We believe the value of therapy belongs with the licensed clinicians who provide it. That's why we offer free, one-on-one support to Arizona practice owners who want to leave third-party platforms and contract directly with insurance companies.
We'll walk alongside you from start to finish: completing your application, staying in touch through the waiting period, helping you understand what to look for in your contract, and showing you how to submit claims in your EHR.
There is no fee and no catch. When we were starting out, we learned many of these lessons the hard way, and we'd rather share what we know freely than put a price tag on it. Pouring into our field is how we build a stronger, more independent community of therapists, and better care for the clients we all serve.
Here's what our work together looks like:
-
Trust is the foundation of any partnership, and it’s the foundation of ours. Before we begin an application together, we sign two short agreements with every practice owner we support.
Scope of Work. This outlines exactly what our free support includes, and what it doesn’t. Clear expectations from the start mean you’ll always know what we’re helping with and where your responsibilities begin.
Business Associate Agreement (BAA). Credentialing asks for a lot of personal and professional information. Later, when we show you how to submit claims, we may see client information in your EHR. A signed BAA puts our commitment to confidentiality in writing from day one, so you never have to wonder how your information, or your clients’, will be handled.
We hold ourselves to the same standards we expect of anyone who touches our own practice’s information.
-
We can help you apply to Aetna, Blue Cross Blue Shield of Arizona, Cigna, and UnitedHealthcare/UMR/Optum for practices in Arizona. We're not able to assist with Medicare or Medicaid applications.
Once your Business Associate Agreement is signed, we'll schedule our first Zoom call and spend that hour completing your Aetna application together. Each application is only one to two pages, so if time allows, we'll keep going. Otherwise, we'll set up follow-up calls for the remaining applications.
-
We'll tell you what kind of email to watch for so you don't miss it.
Waiting several weeks, or even a few months, to hear back is completely normal. If you'd like to check on the status of your application, we'll point you in the right direction with the information we have. Some payers prefer a phone call, and others have an online portal where you can track your progress. In the meantime, we'll be on standby for peer support whenever you need it. -
At no point will we view your contract. Insurance contracts are confidential, and just as we honor the agreements we have with our own payer partners, we want to support you in honoring yours. Instead, we'll help you know which sections to read closely and what questions to ask, so you can move forward with confidence.
Once your contract arrives, we're happy to meet and talk through what to look for. For many practice owners, the biggest questions are about the fee schedule and how a percentage-based contract works. We'll explain how these arrangements generally work and show you where that information is typically found, so you can locate and review it on your own.
Please note: We do not determine what is right for you or your practice, and we do not provide legal, financial, or business advice. Our support is limited to showing you how to apply and helping you navigate the process. If you don't fully understand what you're signing or agreeing to, we recommend consulting with an attorney before signing your contract.
-
As a final step, we'll show you how to submit a claim in your EHR. We know Simple Practice well, and members of our team is familiar with a variety of other systems.
We'll also walk you through how to tell what happened after you submit: whether the claim was accepted, applied to the client's deductible, or rejected. This is where our support ends. If you'd like help building billing processes that are manageable for the long term, we recommend hiring a billing team who can create lasting, sustainable systems for your practice.
